What a New Zealand invoice needs to show
Since 1 April 2023, Inland Revenue's rules talk about taxable supply information rather than tax invoices. It's the set of records that backs up the figures in your GST return. Invoicing that met the old tax invoice rules still meets the new ones.
What you need to include depends on the value of the sale.
| Sale value | What to include |
|---|---|
| $200 or less | Your name or trade name, the date, a description, and the amount charged |
| Over $200 to $1,000 | As above, plus your GST number, and either the amounts excl. GST, GST and incl. GST, or the incl. GST amount and a statement that GST is included |
| Over $1,000 | As above, plus the buyer's name and at least one identifier if they're GST registered: an address, phone, email, trading name, NZBN or website |
If a GST-registered buyer asks for this information on a sale over $200, you need to give it to them within 28 days, unless you both agree on another date. You also need to keep taxable supply information for the goods and services you buy and sell.
This generator shows the amount excluding GST, the GST and the total including GST on every invoice, so it covers either option.
If you're not registered for GST
Only GST-registered businesses charge GST. Leave the "registered for GST" box unticked, and the invoice is headed "Invoice", with no GST line and no GST number.
You must register once your turnover was $60,000 or more in the last 12 months, or you expect it to reach $60,000 in the next 12. Once you're registered, tick the box and the tool adds your GST number, works out GST at 15% and heads the invoice "Tax invoice".
How the GST is worked out
Choose whether the prices you type include GST or not.
- Excl. GST: the tool adds up the lines, then adds 15%. $1,000 of work becomes $150 GST and a $1,150 total.
- Incl. GST: the tool adds up the lines and takes the GST out with the 3/23 fraction. A $1,150 total holds $150 GST.
GST is worked out once on the total and rounded to the cent.

Is this invoice generator free?
Yes. There's no sign-up and no limit. Fill it in, then print it or save it as a PDF.
Is my invoice uploaded or stored anywhere?
No. Nothing you type is uploaded. Your draft is saved in your own browser so it survives a refresh. "Start again" clears it.
How do I save the invoice as a PDF?
Click "Print or save as PDF", then choose "Save as PDF" as the printer in your browser's print window. Only the invoice prints, not the rest of the page.
What does an invoice over $1,000 need?
Your name or trade name, your GST number, the date, a description, the GST amounts, and, if the buyer is GST registered, their name and at least one identifier such as an address, phone, email or NZBN.
Do I need a GST number to send an invoice?
No. If you're not registered for GST you can still invoice, you just don't charge GST. Leave the box unticked and the invoice won't show a GST line.
